A Clearer View of the Recruitment Process

Understand the key responsibilities, documents, regulatory steps and checkpoints involved in bringing international hospitality professionals to Austria.

WMP Screening Standard

Before a candidate is presented to an employer, WMP and its Philippine recruitment partner apply a structured screening standard to verify that the candidate is suitable for the intended position and employment pathway.

The candidate file should already contain the key documentation required to assess professional suitability and prepare the Austrian employment application.

Standard candidate file may include:

  • Valid passport
  • Current Curriculum Vitae
  • Employment certificates and references
  • Educational qualifications
  • Training certificates
  • Professional or trade certificates
  • Evidence of relevant work experience
  • English-language ability
  • Additional language skills where applicable
  • Position-specific qualifications or specialisations
  • Police or background documentation where required
  • Civil-status or other personal documentation where required
  • Documents relevant to the intended Seasonal Employment or Red-White-Red Card pathway

For positions requiring formal qualifications, relevant work experience or points-based eligibility, the supporting evidence is reviewed before the candidate proceeds further in the process.

Only candidates who meet the applicable WMP screening standard and appear suitable for the intended Austrian employment pathway are presented to employers for consideration.

Once an employer selects a candidate, the verified candidate file is used to prepare the required Austrian employment authorisation and subsequent Philippine deployment processing

Before Recruitment Begins

Before candidate processing starts, the employer should have the essential employment conditions clearly defined and provide the required company information and documentation.

Employer information and preparation required:

  • Position and job title
  • Job description and main duties
  • Place of employment
  • Intended start and end date
  • Applicable salary
  • Applicable collective agreement and classification
  • Working hours
  • Accommodation arrangements
  • Intended employment pathway: Seasonal Employment or Red-White-Red Card
  • Required company registration and employer documents
  • Information required for employer accreditation with the Migrant Workers Office in Vienna
  • Signature of the required Memorandum of Understanding (MOU) with WMP’s official Philippine recruitment agency partner

WMP coordinates the preparation of the required employer information and documentation with its licensed Philippine recruitment agency partner. The agency then handles the necessary employer accreditation and Philippine-side processing requirements.

The MOU with the official Philippine recruitment agency partner must be completed before further Philippine processing can proceed

Austrian Employment Authorisation

The required Austrian employment authorisation depends on the employment pathway.

Seasonal Employment

For seasonal quota employment, the Austrian employer submits the application for the required Beschäftigungsbewilligung to the AMS office responsible for the place of employment. A valid quota position must be available and, unless an exemption applies, the AMS carries out the required labour-market procedure. Arbeitsmarktservice Österreich

Once the Beschäftigungsbewilligung has been approved, the first WMP payment tranche of €700 becomes due. The official AMS application fee paid by the employer may be deducted from this tranche.

Red-White-Red Card

For Red-White-Red Card cases, WMP’s standard process is for the prospective Austrian employer to submit the application directly to the competent Austrian residence authority in Austria. For shortage-occupation cases, this is typically the competent Bezirkshauptmannschaft, Magistrat or other designated residence authority, depending on the place of employment. The employer submits the required Arbeitgebererklärung together with the application. The residence authority then coordinates the employment-related assessment with the AMS. Migration.gv.at

WMP prepares and coordinates the required documentation and supports the employer throughout the process. Where formal legal representation is required, this must be carried out by a person legally authorised to represent the applicant before the Austrian authorities. Migration.gv.at

The official Red-White-Red Card application fee paid by the employer forms part of the agreed WMP service cost and may be deducted from the applicable second payment tranche.

In both pathways, WMP supports the employer with process guidance, document preparation and coordination, while the formal Austrian application is submitted through the competent Austrian authority.

Visa and Philippine Deployment Process

After the Austrian employment authorisation has reached the required stage, WMP coordinates the agreed visa and Philippine deployment process.

This may include:

  • Visa application coordination
  • DMW processing
  • Medical requirements
  • OWWA and deployment requirements
  • Candidate documentation
  • Pre-departure requirements
  • Final deployment clearance

WMP coordinates the Philippine regulatory and deployment process and applies for or supports the visa process. 

Travel, Arrival and Aftercare

Once the candidate is progressing toward deployment, WMP begins the practical preparation for travel and arrival and remains available to both the employer and employee throughout the employment period.

WMP:

  • Identifies or recommends suitable travel options
  • Coordinates travel timing with the employer and candidate
  • Provides a pre-departure preparation briefing as early as practical, covering banking and salary preparation, required travel documents, workplace expectations, accommodation, living and working in Austria, and other practical matters
  • Conducts a final departure briefing approximately 7–14 days before travel, once the flight and arrival arrangements are confirmed
  • Confirms that the employee has the required travel and deployment documentation
  • Supports final arrival planning
  • Provides the employee with access to a 24-hour travel emergency contact line during the journey to Austria
  • Remains available to support both employer and employee throughout the employment period

Employer:

  • Books and pays the required flight
  • Confirms accommodation readiness
  • Coordinates the final ground transfer or onward journey to the workplace
  • Provides the required workplace onboarding after arrival

WMP does not book the flight directly. The employer books and pays the required travel, while WMP supports the coordination of suitable travel arrangements and arrival timing.

After arrival, WMP continues to act as a point of contact for both employer and employee for the duration of the employment period. Support is available in German, Filipino, and English, helping bridge communication where language or cultural differences may otherwise create misunderstandings. WMP can assist with communication, clarification of process-related questions, and practical issues that may arise during the employment relationship.

Who Is Responsible for What?

Employer

  • Defines the position, job description and employment conditions
  • Approves the candidate for employment
  • Provides and signs the employment contract or required employment offer
  • Provides the required company and employer documentation
  • Submits the Austrian Beschäftigungsbewilligung for seasonal employment or the Red-White-Red Card application under WMP’s standard RWR process
  • Pays the applicable Austrian authority fees, which may be deducted from the relevant WMP payment tranche where agreed
  • Provides the information required for employer accreditation with the Migrant Workers Office in Vienna
  • Signs the required MOU with WMP’s official Philippine recruitment agency partner
  • Books and pays the required flight
  • Confirms accommodation arrangements and readiness
  • Coordinates the final ground transfer or onward journey to the workplace
  • Provides workplace onboarding after arrival

WMP

  • Coordinates candidate sourcing and the recruitment process with its licensed Philippine recruitment agency partner
  • Applies the WMP Screening Standard before candidates are presented to employers
  • Coordinates candidate presentation and employer approval
  • Guides the employer through Austrian and Philippine documentation requirements
  • Coordinates preparation of documentation for the applicable Austrian employment pathway
  • Coordinates agreed visa processing
  • Coordinates employer accreditation and Philippine regulatory and deployment requirements with the official Philippine recruitment agency partner
  • Supports the employer in sourcing suitable travel options
  • Coordinates travel timing and arrival preparation
